Operations and Finance Coordinator
Greater Cleveland Habitat for Humanity’s Operations and Finance Coordinator performs administrative and data-driven tasks for the Chief Operating Officer (COO) and supports the Finance Department. This role is pivotal in ensuring smooth administrative operations and assisting with key financial processes, aligning closely with the Associate Director of Finance for financial tasks.
Key Responsibilities:
- Administrative and Assistant Duties for the COO:
- Manages the COO’s calendar, schedules appointments, meetings, and coordinates travel arrangements as needed.
- Assists with research, filing, organizing reports, and general administrative tasks assigned by the COO.
- Prepares letters, reports, and other documents on behalf of the COO.
- Supports the COO in meeting preparation, taking minutes, and following up on action items.
- Ensures efficient filing and organization of documents for the COO’s office.
- Handles confidential information appropriately and maintains discretion on sensitive matters.
- Financial Support:
- Assists the Finance Department with data entry, spreadsheet creation, and ledger reviews to ensure accurate and timely financial processing.
- Prepares and processes vendor invoices for payment.
- Supports the finance department with developing and maintaining reports, including ReStore sales reports and recording daily sales transactions and deposit donations.
- Assists with maintaining financial documentation, preparing for audits, and filing important financial records.
- Handles daily administrative tasks for the finance department, including managing mail, scheduling meetings, and tracking deadlines.
- Cross-Departmental Administrative Support:
- Provides general administrative support across departments as needed, including special projects and ad hoc requests.
- Ensures smooth operation of office equipment and maintains office supplies for the finance and operations departments.
- Collaborates with other departments to track data related to retail operations and other organizational functions.
- Confidentiality and Compliance:
- Protects organizational operations by maintaining confidentiality of financial and sensitive data.
- Ensures that all financial and administrative processes comply with internal policies and external regulations.
- Performs other duties of a similar nature as may be required.
Qualifications:
- Associate’s degree in a relevant discipline is required. Degree with an emphasis on finance is preferred.
- Minimum of two (2) years of experience in administrative support roles .
- Proficient in Microsoft Office Suite; experience with QuickBooks or other accounting software is preferred but not required.
- Excellent written and verbal communication skills.
- Strong organizational skills and the ability to handle multiple tasks and shifting priorities.
- Ability to work independently and proactively in a dynamic environment.

Position Details:
- Full-time, non-exempt position.
- Typical workweek: Monday – Friday.
- Pay range: $17 - $19 an hour, depending on qualifications.
